New Year's Eve rentals for house parties, galas and countdowns
New Year's Eve is a different kind of party. Nobody's eating a long dinner and going home at nine. Guests arrive late, stand more than they sit, and everything builds toward one minute at midnight. We rent the sound, lighting, glassware and games that carry a party from the first drink to the countdown, whether you're hosting 30 friends in a basement or a few hundred guests at a banquet hall.
Sound and lighting for the countdown
The countdown only works if everyone can hear it. A pair of powered speakers with a subwoofer fills a hall or a large basement, and a PA system with a microphone lets the host call the last ten seconds. If you want a big countdown clock on the wall, a projector and screen show it so the whole room counts together.
Party lighting does the rest. LED light pods on stands bathe the dance floor in colour, and uplights along the walls hide plain paint. A fog machine makes the lights look twice as good, but check first that your venue's smoke detectors won't set off an alarm at 11:58.

A photo wall for the first picture of the year
Somebody always wants a group photo right after midnight, so give them a good spot for it. A backdrop arch or a balloon arch in black, gold and silver makes a photo wall that also works as the room's centrepiece. Custom vinyl lettering can add a "Happy New Year" greeting or your company name, and a balloon garland along the bar or the stage ties the colours together.

Setting up for the midnight toast
Count your glasses before you count your guests. Champagne flutes come in sets of 49, which makes it easy to cover a crowd for the toast without washing glasses at 11:50. Wine glasses and hi-ball glasses handle the rest of the night, and a foldable portable bar with an ice cooler beside it keeps the drinks in one place.
Most of a New Year's Eve party happens standing up. Cocktail tables give people somewhere to set a glass, and bar stools along them help guests who'd rather sit. Plan on one cocktail table for every 8 to 10 guests. Please rinse glassware with water before it comes back.

Hosting a New Year's Eve gala
A formal New Year's gala at a banquet hall or community centre needs a bit more structure. 6 ft round tables with round linens and chiavari chairs give a dinner the right feel. A glossy white dance floor gives people a clear place to celebrate after midnight. At the entrance, a red carpet with gold stanchions sets the tone, and coat racks keep the winter coats out of the way. Chairs, tables and linens can be picked up free from our Oshawa location, or we can deliver them.

Games to fill the hours before midnight
The stretch between 9 and 11:30 is where a New Year's party can drag. Games keep the energy up while you wait for the countdown.
Our reaction ring, also called falling sticks, is the one that gets a crowd around it. Sticks drop from the ring without warning and players try to catch as many as they can. Each round takes seconds, people come back to beat their score, and it's easy to run a best-score-of-the-year contest with a prize handed out right after midnight.
Giant Tetris Tumble and table-size 4 in a row are good for guests who want something quieter. Spin the Wheel works for midnight prizes, and corn hole or giant yard dice suit a big rec room or basement. You'll find more ideas on our fundraising and party game rentals in Whitby page.

Late-night snacks and coffee for the drive home
Around 12:30 people get hungry again. A popcorn machine keeps a snack going all night, and a hot dog roller is an easy midnight snack that guests serve themselves. The roller is machine only, so bring your own hot dogs and buns. A waffle maker turns the end of the night into a 1 a.m. breakfast, and it's machine only too.
Put out a 100-cup coffee urn after the toast. It gives guests a reason to slow down before driving, and it's a simple way to help everyone get home safely. Our concession rentals in Oshawa page has more about the machines.

Booking for December 31
We're based in Oshawa and deliver across Durham Region, Toronto, Peel, York and Halton. December 31 is one of the busiest nights of the year, so items like the reaction ring, the dance floor and the sound systems go first. If you're planning a countdown outdoors, add patio heaters and our outdoor cold spark machine for the midnight moment. For other events this season, see our Christmas party rentals page. For a full list of what we supply through the season, see our holiday party rentals page.
